The meeting ends,
and the draft is ready

After the client meeting, the site inspection or the owners' meeting, the second job begins: deciphering your notes, writing the minutes, adding the to-dos and filing it all. Usually in the evening, often days later, and by then from memory. What's missing only comes to light when someone asks.

The work after the work

Every meeting, inspection and job needs a record: a file note, a site report, a set of minutes. Invoices, deadlines and later decisions rest on them. Yet each one starts from a blank page, written by the people you need with customers or on site.

So it gets put off. The notes sit in the van, on a phone or in someone's head, and by the time the minutes are done, details have gone. Whoever stands in during a holiday first has to ring around to find out where things are.

What it costs you

Time
Evenings and spare moments in which experienced people type up and format their notes.
Money
Work that never makes it onto the report rarely gets billed, and a forgotten agreement costs time and goodwill later.
Continuity
When the latest state of things lives in one person's head, it's missing for every stand-in and every follow-up question.

A working day, before and after

Today

  1. Notes end up in a notebook, on your phone or on scraps of paper
  2. You write the minutes in the evening or days later, from memory
  3. Agreements and to-dos get lost along the way
  4. Whoever stands in for you searches emails and asks around

With us

  1. You dictate a few points or take a photo of your notes
  2. A draft in your template is ready, with to-dos and deadlines
  3. You check it, add what's missing and sign it off
  4. It's filed in the right place, so everyone can see where things stand

How we start

  1. A 30-minute call

You tell us how the work runs today. We'll tell you honestly whether AI is worth it for you, and where.

  2. Workflow audit

We sit down with the people who do the work and go through it step by step: where the information comes from, where time gets lost, which rules apply.

  3. A pilot on your own cases

We build a first version with your templates and data and try it on real cases from this week. Your team decides whether it's any good.

  4. Built for you, or by your team

We build the solution for you, or your team learns with us to run and improve it themselves.

Questions people ask us

Only if everyone taking part knows and agrees. Often you don't need a recording at all: a few notes or a short dictation after the meeting are enough for a good draft. We agree with you how you want to handle it.

Minutes and file notes often contain client data or matters covered by professional secrecy. So we choose providers and hosting with you where your data doesn't train anyone else's models, and we decide together where recordings and texts are stored and when they're deleted.

That's why it stays a draft until someone who was there has read it. The template lists decisions, to-dos and deadlines separately, so they're quick to check. Nothing is filed without your sign-off.

Not necessarily. Often an approved AI tool is enough, and after some training your team prepares minutes with it themselves. Where templates, filing and your software need to work together, we build an assistant for it.

Let's Talk

When do you write
your minutes?

In 30 minutes we'll look at which minutes and reports you write and which of them could arrive as a draft in future.
