ProblemInquiries

An inbox that
sorts itself

Every morning it's the same: emails, contact forms and messages, with the important ones buried somewhere in the middle. Someone reads the lot, answers the same questions for the tenth time and forwards the rest. It takes hours, and things still slip through.

Lots of mail, not much news

A large share of inquiries repeat themselves. How far along is my job? Which documents are you still missing? When are you free? Each answer is quick. Added up, they eat hours of your day.

Because everything lands in the same inbox, what gets done first is often down to luck. Urgent requests wait behind routine ones, customers chase, and as soon as someone goes on holiday the whole thing backs up.

What it costs you

Time
Reading, sorting, forwarding and answering, all over again every day.
Customers
If you keep someone waiting for an answer, they feel you aren't taking them seriously.
Team
Whoever looks after the inbox rarely gets to their real work, and it's hard to find cover for them.

A working day, before and after

Today

  1. You open the inbox and read everything from top to bottom
  2. You answer the same questions for the tenth time
  3. You forward requests by hand and chase them later
  4. You spot the urgent one after the customer has written twice

With us

  1. The system recognises each inquiry as it arrives and files it
  2. Routine questions get an answer straight away, in your tone
  3. Everything else reaches the right person with a short summary
  4. Urgent requests sit at the top, and nothing slips through

How we start

  1. A 30-minute call

You tell us how the work runs today. We'll tell you honestly whether AI is worth it for you, and where.

  2. Workflow audit

We sit down with the people who do the work and go through it step by step: where the information comes from, where time gets lost, which rules apply.

  3. A pilot on your own cases

We build a first version with your templates and data and try it on real cases from this week. Your team decides whether it's any good.

  4. Built for you, or by your team

We build the solution for you, or your team learns with us to run and improve it themselves.

Questions people ask us

Only what you sign off. Together we decide which inquiries get an automatic answer, which come to you as a draft, and which always go straight to a person.

The replies sound like you, because they're built from your own texts and rules. Whether you label automatic replies is up to you. We'd suggest being open about it.

Email and contact forms, and often your ticketing or property management system too. We'll work out what makes sense for you in the workflow audit.

Inquiries often contain personal data. So we choose providers and hosting with you in a way that lets you meet the Swiss Federal Act on Data Protection, and we write down which data goes where.

Let's Talk

How many emails
do you answer twice?

In 30 minutes we'll look at your inbox together and talk about what nobody should have to handle by hand any more.
